APPLICATION LETTER pt 1, 2, 3 and 4 + Exercises and Answers

In this blog, I'll share with you and explain about Application Letter.

PART 1 


The Definition of Application Letter 



An Application Letter is a letter from someone who needs a job to a person or official who can provide a job or position. Through this application letter, the applicant asks that he or she be given a job. 

An application letter can also be interpreted as a letter from a prospective employee to a prospective employer containing a request that the employee be given a job by the prospective employer.

This application letter is personal and formal or official. Personal because the letter was made by someone, and formal or official it uses an official language. 


The Types of Application Letters


After knowing the meaning of a job application letter, you will learn more about the types.
Based on the type of creation, job application letters can be grouped into two types.

a. An application letter combined with curriculum vitae

In this way, the curriculum vitae includes the contents of the letter because its contents are combined. This method is also known as the combined model.

b. An application letter separated from curriculum vitae

In this way, the curriculum vitae is an appendix and this method is called a separate model.
In practice, the type that is often used is a separate model. Although it takes two jobs to make, this model is preferred by job applicants because the letter is not too long.

Elements of Application Letter


After you are able to determine the type of application letter that you will make, you should know the elements, by understanding the elements you will understand more about the job application letter. The important elements in a job application letter are:

a. Thesis
The letter section begins with a general statement (thesis), which is the part of the job application letter that presents an introduction to this general statement which serves as initial information related to the job to be applied for. In this section, applicants present information in the form of greetings, opening remarks, and biodata.

b. Argument
Arguments are part of a job application letter that provides reasons for the job vacancy owner to accept the applicant. In this section, applicants present information in the form of photocopies of diplomas, curriculum vitae, and other information that supports the competence of applicants.

c. Affirmation
The part of an application letter that serves as a closing, such as the applicant's expectations, closing greeting, and name and signature.

The Function of Application Letter  



This part is an important part. What is the function of a job application letter? The main function of a job application letter is as a written/official sign of submitting a job application because the presence of a job application letter means that the application is official and will of course be immediately accepted as an application and consideration in accepting the applicant.

As a Communication Tool

This function is one of the basic functions of every letter. Because every letter is certain to contain information that will be needed by the intended party. In the application letter, The information needed is information about the data and the identity of the addressee. In a job application letter, a certificate will usually be attached, a curriculum vitae, a photocopy of an ID card, and a description of work experience. All of this information will be needed by a company or agency that is intended for consideration in accepting the applicant. Therefore, applicants always pay attention to the information in the application letter and prepare all the required prerequisites.

It has been explained above that with the presence of a job application letter and sharing information about identity, it is necessary to make a consideration for the company to accept the right applicant to fill the vacant job.

Linguistic Elements of an Application Letter






1. The choice of words pays attention to the standard

The words used in the letter must be words that
are raw. Namely, the word that is appropriate and contained in the Big Indonesian Dictionary.

For that, you must understand that in Indonesian,
there is a categorization of standard words and non-standard words. The benchmark is
a dictionary. If it has not been absorbed into the dictionary, it means that it is not standardized.

When you make a cover letter, then choose the words
standard one. As much as possible, don't let words that don't appear
in the dictionary. Now, it's easy to check the standard of a word. Live
search in browser engine like google or download the app on play store.

2. The choice of words pays attention to the rules of politeness

In Indonesian, we may find there are
several words with the same meaning and purpose. However, it actually has meaning
different courtesy.

The words die and die to mean the same thing, but it's not
suitable to make the sentence "The Ustadz is dead."

Even though it means the same thing, it's not polite.

So is the case in the letter. We, for example, have several
choice of words to refer to the second person.

The question is, is it polite if in our letter
call the second person by your name? It seems more polite to use Mr/Mrs.

Likewise in choosing the first person pronunciation. Can
Me, Me, or Me. Come on, which one is more polite? The answer is definitely not me
and me.

3. Using a standard format or systematic

Typology or the form of letters and their arrangement also has
a peculiarity. There is a sequence and systematic. Each section from the top to
below, there is already a standard form that has become a general agreement.

Well, so is the job application letter. you need
to follow a common format. There is no need for creativity in this case.
It would be strange if the signature was stored at the beginning for example.

Even if there is room to show creativity, maybe
It can be shown on the appendix page that accompanies the letter. For example
in your CV or portfolio.


4. The sentence is effective

Every sentence contained in the letter as much as possible
not rambling or circling. Nor is it ambiguous, namely having
ambiguity of meaning. For example, by bringing up the poetic figure of speech.

Maybe that kind of language is good. But not right
for use in letters. It is suitable to be used in literary texts.

If we pay attention, the average letter is short but
stick to the principle of clarity. In other words, the sentences
are effective.

5. Start with a solid and informative introduction

The beginning of the letter is the introduction. In this section, no
need to make small talk, for example by asking how the job provider is doing
work, or explain the intent and purpose that seems redundant.

A job application letter is not a kind of personal letter or
a love letter that usually begins at length until it fills one
full page.

Just give a short greeting and explain
means to apply for a job in a certain position. In other words to the
points. Information that is arranged in such a way that it is concise and
informative.

6. Writing information sources for job vacancies

In the introductory part, it is necessary to write down the source
information about job vacancies. Is it from the newspaper, from
social media, from the company website, or other sources where job advertisements are
work usually exists?

This is useful later for the company or institution
employers to measure what media are effective for advertising
vacancy. So that later they can be easier and more focused in making
advertisement.

7. Complete parts of the letter outside the body of the letter
complete
The components of the letter outside the body or its contents must also be
filled out clearly and completely. Well, that's the thing, the place where the letter was made follows
the date, opening greetings, closing greetings, signatures, to bright names.

For some people, the things above may be considered trivial
and complementary. However, you don't think so. It's very possible
plus points to be assessed by the company because it can include a measure of seriousness
an application applicants when submitting their applications.

Look at the table below.



The information from the text, we know that:
  • Full name,
  • Phone number email,
  • Email,
  • Date,
  • Name of the Hiring Manager or their professional title, 
  • Name of the company you're applying to.


From the table above, we can find out where the applicant got the job vacancy information from and the reason he applied for the job.

Usually, a sentence like this is found in the opening.


What is meant by the table above in bold is the applicant's expertise and experience the applicant has.


in this table, the applicant includes a number and email to be contacted.


IMPORTANT!

First paragraph : Why you are writing. This is "the grab," your chance to grasp your reader by the collar and get their attention. Offer some specific, focused information regarding the job you're seeking and a few core strengths that demonstrate your suitability for the position.


Second paragraph: What you have to offer the employer. This is your hook where you highlight examples of the work performed and achieved results. Draw on your key competencies from your resume, although don't copy it word for word. Bullet points in this paragraph are extremely effective in drawing your reader's eye to your successes.


Third paragraph: Your knowledge of the company. Show that you did your
research and know something about the business and how you can contribute to its mission.
Fourth paragraph: Your closing. Summarize what you would bring to the position and suggest the next steps by requesting a meeting or suggesting a call.
